The Team panel: who is in, what state each invite is in, and what they can reach.

Invites

How invites work

Four steps, no admin console, nothing to configure first. An invite goes to one email address and carries one state, so you always know who is in and who never replied.

  1. Send the invite to an email address

Open the Team panel, type your teammate's email and send. The invite is bound to that address, not to a shareable link, so nobody joins your account by forwarding a URL.

  2. Watch the state, not your inbox

Every invite shows as pending, accepted or declined. Pending is sent and unanswered. Accepted means the seat is spoken for. Declined frees it again, which matters when five is the ceiling.

  3. Set what each member can reach

Permissions are granular and set per member, so a designer can build and style forms in the form builder without you opening the response table to them.

  4. Remove a member when the work ends

Removing someone ends their access to the whole account at once. The forms, responses and themes they built stay where they are: they belong to the account, not to the person who typed them.

Ownership

Who owns what

Form collaboration only works if the answer to "can they see this?" is boring and predictable. In Upform the answer is always the account: forms belong to it, teammates are members of it, nothing crosses the line.

  • Forms are private until you publish them, so a draft a teammate is still writing collects nothing
  • Responses and contacts follow the form, so access ends the moment a member is removed
  • Integrations connect per user over OAuth, so nobody inherits your Sheets or Slack login
How Upform handles your data

The account is the boundary

Upform is multi-tenant: many accounts, one database. Every row carries the account it belongs to, and the database checks it on every read and write through row-level security, not a rule in application code that someone can forget to apply.

Roles are checked, never assumed

Roles live in their own table, read through a security-definer function, so a member cannot widen their own access by editing their own record. Uploads are scoped per form, so one form's file link cannot be walked into another's.

The honest limit

Up to five members on Pro

The free plan is one account, one person. Team members arrive with Pro at $12 a month, and five is where it stops. Better you read that here than find it on your fourth invite.

What a seat gets you

  • A login of their own, so a password never gets pasted into a group chat
  • The same 21 question types, 20 logic operators and every integration. Nothing is gated by seat
  • Permissions you set for that person, not a role bundle you have to accept whole
  • Work that outlives them: forms, saved themes and drop-off analytics stay put

What a seat does not do

  • It does not raise the ceiling past five. There is no larger tier to buy today
  • It does not add live co-editing: no shared cursors, and saves stay manual
  • It does not add to the bill. Pro is $12 a month for the account, whether you invite one person or five
  • It does not carry across accounts. A member you invite is a member here and nowhere else

Online checkout is not live yet. Email hello@upform.com and we set the account up by hand, usually the same day. Full details on the pricing page.

Frequently asked questions

How many people can I invite to an Upform account?

Up to five team members on Pro. The free plan is a single account with no seats, so if you need a second person in the builder, Pro at $12 a month is the step up. Five is a hard ceiling today, not a soft one you can pay to raise.

Do I invite someone to a form or to my account?

To your account. An invite is not per form: once a teammate accepts, they are a member of the account, and their permissions decide which parts of it they can reach. That is also why removing a member takes their access to every form at once instead of one form at a time.

What do pending, accepted and declined mean?

Pending means the invite has gone to that email address and nobody has answered it yet. Accepted means the person is in and the seat is in use. Declined means they said no, and the seat goes back to the pool for someone else.

Can two people edit the same form at the same time?

You can both open it, but Upform does not show live cursors and does not merge edits. Saves are manual and the builder warns you before you leave with unsaved changes, so if two people edit the same form and both save, the later save is the one that survives. Split the work by form rather than by question.

Can a teammate see my responses and contacts?

Only if their permissions allow it. Permissions are set per member, so you can bring someone in to build forms without opening the response table or the contact directory to them. Whatever they can see stays inside your account: row-level security checks the account on every read, so nobody outside it reaches your data.
