A Microsoft Forms alternative that works outside 365

Microsoft Forms is a Microsoft 365 feature, and it shows the moment the person filling in your form does not work at your company. Upform is a standalone form builder: a public link anyone can answer, with 21 question types, 20 logic operators and unlimited responses for $0.

The short answer

Upform vs Microsoft Forms, in 60 words

Microsoft Forms is a feature of Microsoft 365: strong inside a tenant, awkward outside one. Upform is a standalone conversational form builder. Anyone with the link can answer and upload files without an account anywhere. You get 21 question types, 20 logic operators, your own logo, colors and Google font, and unlimited responses on a permanently free plan.

Upform vs Microsoft Forms, feature by feature

Most people searching for a Microsoft Forms alternative are not running from a bad tool. They have hit the edge of what a 365 feature is designed to do.

Microsoft Forms capabilities and limits checked September 2026 against Microsoft's public documentation; Upform's on our own pricing page. Tenant settings and product limits change, so verify both before you decide.

The three reasons

Why people look for Microsoft Forms alternatives

Almost nobody leaves because the product is bad. They leave because the form has to go somewhere the tenant does not reach.

Your respondents are not in your tenant

Clients, candidates, patients, suppliers and event guests have no work account with you. Microsoft Forms can be opened to anyone, but the setting is controlled centrally and plenty of admins keep it closed. You find out when someone forwards you a screenshot of a sign-in wall.

The form always looks like Microsoft's

Themes and a background image are as far as it goes. There is no font of your own and no way to take the Microsoft mark off. For an internal poll that is fine. On a proposal request or a patient intake it reads as a corporate utility, not as you. Upform gives you full design control on the free plan.

Branching runs out before your process does

Section branching answers one question: where does this person go next. It cannot show a single field when two conditions are both true, or hide a block for everyone from a particular country. Upform's logic is a rule list, so those cases take a minute instead of a redesign.

Outside the tenant

Send it to anyone. They just answer.

An Upform form is published to a public link or embedded in your own site. There is no directory, no guest invitation, no license check. The person opens it, answers, and the response is in your dashboard a second later.

  • A public link, an iframe embed or an email snippet (pick per form)
  • File uploads from anyone, with allowed types and a size cap you set
  • Invisible reCAPTCHA v3 on public submissions, so open does not mean unprotected
  • Forms stay private until you publish them, and uploads are scoped per form
  • Every respondent is added to a contact directory built from their own answers

Logic depth

Rules, not just branches

Microsoft Forms decides which section comes next from the answer to one question. Upform keeps a flat list of rules, and each rule is an AND or OR group of conditions across any earlier answer.

  • 20 operators across text, numbers, dates, choices and uploads: contains, between, is any of, is before, is answered, is uploaded
  • Four actions: show a question, hide it, jump to a step, or end the form early
  • Every rule is visible in one list, so you can read the whole flow instead of clicking through sections
  • Included on the free plan, with a 1:1 live preview beside the editor as you build

Being straight with you

What Microsoft Forms still does better

If your forms live entirely inside your organization, Microsoft Forms is often the right answer and switching would cost you something. Four places where it wins outright.

Quizzes are genuinely good

Points per question, correct answers, automatic grading and feedback per option, built for teachers and trainers. Upform has no scoring or calculation engine at all, so a graded quiz is a reason to stay put. Our question type guide is honest about where that line sits.

Excel is native and live

Responses land in a workbook in OneDrive or SharePoint that updates as answers arrive, with no connector to wire up. Upform exports CSV and pushes rows into Google Sheets; a direct Excel Online connection is on the roadmap, not shipped.

It is already paid for

If your company has Microsoft 365, Forms costs nothing extra, needs no vendor review and no new password. That is a real advantage in a regulated or procurement-heavy organization, and it is why Forms keeps winning internal surveys.

Your data stays in your tenant

Responses sit under the retention, eDiscovery and compliance policies your IT team already runs. Upform is a separate hosted service with row-level security and per-form upload scoping, but it is still a second place your data lives. Read the detail on security and privacy.

Migration

Moving a Microsoft Form across, step by step

There is no importer for Microsoft Forms. Upform's one-way import covers Google Forms only. In practice a ten-question form is rebuilt in fifteen or twenty minutes, because most field types have a direct equivalent among the 21.

  1. Take your responses with you first

Open the existing form's Excel workbook and save a copy outside the tenant. Do this before you switch anything off, and before anyone archives the original form.

  2. Map the question types

Choice becomes single or multiple choice, text becomes short or long text, rating becomes rating or star rating, date becomes date, upload becomes file upload. Ranking and Likert have no direct equivalent: most people split a Likert grid into separate rating questions, one row each.

  3. Rebuild branching as rules

Write down each "go to section" rule as a sentence, then build it in the Logic panel. Section jumps become jump actions; questions that only applied to part of a section become show or hide rules, which usually shortens the form.

  4. Brand it, publish it, connect it

Set your logo, colors, Google font, radius and progress style in Design, then save it as a reusable theme. Publish, copy the link or the embed snippet, and connect Slack or n8n so responses land where your team already works.

After the submit button

Nine destinations, no Power Automate in the middle

Every integration is on the free plan and connects with your own account, so responses go straight to the tool that needs them.

Mailchimp, Klaviyo and monday.com are connected the same way. Excel Online is on the roadmap; until then, CSV export covers it. See all integrations.

Frequently asked questions

Is there a free Microsoft Forms alternative?

Yes. Upform's free plan is permanent and includes unlimited forms, unlimited responses, all 21 question types, conditional logic and every integration. You do not need a Microsoft 365 subscription, a work account or a card. Pro is $12 a month and only adds unlimited file storage, branding removal and five team seats.

Do respondents need a Microsoft account to fill in an Upform form?

No. An Upform form is a public link that anyone can open, answer and submit, file uploads included. Microsoft Forms can accept anonymous responses too, but many work and school tenants are set to restrict forms to people inside the organization, and its file upload questions require the respondent to sign in.

Can I export Upform responses to Excel?

Yes, through CSV. Every form has a responses table with search, form and date filters and a CSV export that opens straight in Excel. If you want a sheet that updates on its own, connect the Google Sheets integration and each response is appended as a row. A direct Excel Online connection is on the roadmap, not built.

Does Upform have branching logic like Microsoft Forms?

It goes further. Microsoft Forms sends a respondent to a section based on the answer to one question. Upform uses a flat list of rules, each one an AND or OR group of conditions, with 20 operators and four actions: show a question, hide it, jump to another step, or end the form. Upform has no scoring or calculation engine.

Can I use Upform if my company runs on Microsoft 365?

Yes, and most people do exactly that. Upform sits alongside 365 rather than replacing it: keep Microsoft Forms for internal quizzes and tenant-only surveys, and use Upform for anything a client, candidate, patient or customer outside your organization has to fill in. Answers can land in Slack, Google Sheets, Notion or any endpoint you own.

Can Upform build a quiz with scores?

No. Upform has no scoring, grading or calculated fields, so a graded quiz is a genuine reason to stay with Microsoft Forms, which handles them well. What Upform's logic does instead is route: jump someone to a different question, hide a section, or end the form early based on what they answered.

Can I import my Microsoft Form?

Not automatically. Upform imports from Google Forms only, one way, so a Microsoft Form is rebuilt by hand. Most take ten to twenty minutes: paste the question text across, set the field types, then rebuild your branching as logic rules. Ranking and Likert questions have no direct equivalent and are usually split into separate rating questions.
